Meet & Greet Booking Terms

A meet-and-greet in your home is required before any new client booking and must be completed at least 48 hours before the first visit.

The purpose of the meet-and-greet is to review your cat(s)’ care needs, household setup, and any relevant routines or requirements, and to ensure that services can be provided safely and appropriately.

 

If any relevant information about your cat(s), home, or care requirements is incomplete, inaccurate, or not disclosed in the booking form or discussed during the meet-and-greet, Staycation Cat Care reserves the right to decline to offer services.

Client Agreement

1. Our Care

Your cat(s)’ wellbeing is our priority. During each visit, we will:

  • Provide fresh water, food, and a clean litter tray, or outdoor access if required
  • Offer companionship, play, fuss, and grooming if your cat enjoys it
  • Administer medication as agreed (additional charges may apply)
  • Monitor general health and behaviour in line with the Animal Welfare Act 2006
  • Send updates to you as agreed

Some cats may hide or avoid interaction; this is normal and does not indicate neglect if welfare checks are completed.

 

2. Visits & Timing

Standard visits last approximately 20-30 minutes. Duration may vary due to medication, cleaning, or your cat’s behaviour. Extra time can be booked at additional cost.

Visit times are approximate and may vary due to travel, weather, or other bookings.

Where two visits per day are booked, these will be reasonably spaced. Our priority is always your cat’s welfare, and essential care tasks will be completed at every visit.

 

3. Client & Pet Information

Bookings rely on accurate information in your client and pet profiles, including:

  • Contact and emergency details
  • Veterinary details
  • Feeding, medication, health, and behavioural information
  • Home access and security instructions

You agree to keep this information up to date. We are not responsible for issues caused by missing, inaccurate, incomplete, or outdated information.

 

4. Health & Behaviour

By booking, you confirm your cat(s):

  • Are healthy, vaccinated, and free from contagious disease
  • Are up to date with flea and worm treatment
  • Have no undisclosed medical or behavioural issues

We may decline or stop a booking if a cat’s condition risks their safety or ours.

We will make reasonable attempts to administer medication as instructed. If this cannot be done safely, or your cat becomes distressed or aggressive, we will inform you and may suspend medication until further guidance is received.

 

5. Emergencies & Veterinary Care

In an emergency, we:

  • Will attempt to contact you, then your emergency contact
  • May seek veterinary care at your nominated practice or the nearest suitable clinic
  • May act in your cat(s)’ best interests following veterinary advice

All veterinary fees and related costs are your responsibility. Additional time spent handling emergencies may be charged.

6. Supplies

You are responsible for providing:

  • Sufficient food, litter, medication, and treats for the full booking
  • Cleaning supplies for any cat-related accidents

If essentials run out, we may purchase replacements. Costs plus £5 per trip will be added to your invoice.

 

7. Property & Cleaning

  • We are not responsible for damage caused by your cat(s)
  • We will clean cat-related mess using your supplies and dispose of waste responsibly
  • Basic household care (putting bins out, taking parcels in) is provided but comes second to cat care
 

8. Responsibilities & Limitations

We will care for your cat(s) professionally, kindly, and in accordance with your instructions.

All sitters hold a current and valid DBS check (evidence available on request).

We are not veterinary professionals and cannot guarantee your cat’s health or behaviour.

We are not liable for illness, injury, escape, or death where there has been no negligence, including pre-existing conditions, stress-related behaviour, or natural health decline in elderly or unwell cats.

Nothing in this agreement affects your statutory rights under the laws of England and Wales.

 

9. Access & Security

To facilitate our visits, you agree to:

  • Provide working keys, access codes, and clear instructions
  • Ensure doors, locks, alarms, and entry systems function correctly

Missed visits due to access issues remain chargeable.

Keys are stored securely, kept separate from your details and returned once payment is received (or retained securely for future bookings if requested).

We are not responsible for alarm faults, power cuts, internet outages, smart device failures (including feeders), or issues caused by third-party access.

 

10. Insurance

You are responsible for informing your home insurer that a sitter will access your property.
Staycation Cat Care holds public liability and care, custody, and control insurance (proof available on request).

 

11. Privacy & Photos

Your personal details are confidential and used solely for the purpose of caring for your cat(s). We always respect your home and privacy. Personal data is handled in line with UK GDPR.

Indoor cameras are permitted, but recordings must not be shared publicly.

Staycation Cat Care may:

  • Take photos or videos of your cat(s) during visits
  • Share these privately with you for updates

For promotional, social media, or marketing use:

  • With your explicit consent (via the client intake form), photos or videos of your cat(s) and their name(s) may also be used for promotional, social media, or marketing purposes. This consent is optional and can be withdrawn at any time.
  • If you prefer, you may request to approve images on a case-by-case basis before they are used publicly.
  • You may update your preferences at any time by contacting us in writing (including email, text, or WhatsApp).

Any content used for promotional, social media, or marketing purposes will not include any personal information about you and will only be shared publicly once you are home.

 

12. Payment & Cancellations

  • A 50% deposit secures your booking
  • Remaining payment is due when you return home
  • Payments can be made by bank transfer or cash

Cancellation fees:

  • 14+ days before the start date: 25% of deposit refunded
  • 0-14 days before the start date: deposit is non-refundable
  • Early returns or unused visits are non-refundable

If Staycation Cat Care must cancel, your full deposit will be refunded.

 

13. Meet & Greet

A meet-and-greet in your home is required before the first booking and must be completed at least 48 hours before the first visit.

If any relevant information about your cat(s), home, or care requirements has not been disclosed at the time of booking, Staycation Cat Care reserves the right to decline or cancel the booking at the meet-and-greet.

A booking is not confirmed until the meet-and-greet has been completed and accepted.

 

14. Events Beyond Our Control

We are not responsible for delays or missed visits caused by extreme weather, illness, accidents, road closures, access restrictions, or emergency government guidance. We will notify you where possible and resume services as soon as it is safe to do so.

 

15. Declaration

By signing electronically, you confirm that:

  • The information provided in your client and pet profiles is accurate, complete, and will be always kept up to date while you are a client of Staycation Cat Care.
  • The information provided about your cat(s), home, and care requirements is accurate, complete, and truthful to the best of your knowledge.
  • You have read, understood, and agree to these terms, which will apply to all current and future bookings.

This agreement is based on the laws of England and Wales.

 

Veterinary Release Agreement

By signing this form electronically, you confirm and authorise the following regarding your cat(s) while in the care of Staycation Cat Care:

  1. Veterinary Authorisation

You authorise Staycation Cat Care to act as your agent for veterinary decisions for your cat(s) using the information provided in your client and pet profiles. We may take your cat(s) to the veterinary practice listed in your profile, or, if unavailable, the nearest suitable veterinary clinic.

  1. Emergency Treatment
  • We will make all reasonable efforts to contact you and your emergency contact before any treatment.
  • If urgent or life-saving veterinary treatment is required and you cannot be reached in time, you authorise us to consent to examinations, procedures, and medication administration as advised by the veterinarian.
  • Non-urgent treatment will only be authorised with your prior consent.

This authorisation does not include consent to euthanasia or non-emergency major surgical procedures unless explicitly agreed by you in advance or recommended by the veterinarian on welfare grounds and you cannot be contacted.

  1. Owner Responsibilities
  • Ensure your contact details, emergency contacts, cat(s) information, and veterinary practice information in your client and pet profiles are accurate and up to date.
  • Notify your veterinary practice that your cat(s) may be brought in for treatment in your absence.

You acknowledge that this authorisation does not guarantee that medication can be safely administered if your cat becomes distressed or aggressive.

  1. Costs

You are responsible for all veterinary fees, treatment costs, medications, and related expenses. Any emergency treatment costs incurred on your behalf must be reimbursed promptly. Staycation Cat Care will not cover veterinary costs. Additional time spent handling emergencies may be charged at the standard visit rate.

  1. Liability

Staycation Cat Care will act with reasonable care in the best interests of your cat(s). However, we cannot be held responsible for illness, injury, or outcomes resulting from veterinary care provided in good faith and based on professional veterinary advice. This does not affect our responsibility to act with reasonable care.

  1. Declaration

By signing electronically, you confirm that:

  • The information provided in your client and pet profiles is accurate, complete, and will be always kept up to date while you are a client of Staycation Cat Care.
  • You understand and accept the terms regarding veterinary care, emergency treatment, and financial responsibility.
  • You authorise Staycation Cat Care to act as your agent for veterinary decisions if you are unavailable.

This Veterinary Release Agreement forms part of the Staycation Cat Care Client Agreement and should be read alongside it.

Cancellation Policy

A 50% deposit is required to secure all bookings.

The remaining balance is due upon your return home. Payments can be made via bank transfer (details provided on your invoice) or in cash.

Cancellations by the Client

  • 14+ days before the start date: 25% of the deposit will be refunded
  • 0-14 days before the start date: The deposit is non-refundable
  • Early returns or unused visits: No refunds will be issued

Cancellations by Staycation Cat Care

If Staycation Cat Care is required to cancel a booking, your full deposit will be refunded.
